Payroll Administrator

Level:                Intermediate to Experienced

The Role

The ideal candidate has the attention to detail and urgency required to perform payroll functions that rely on accurate data entry and meeting hard deadlines, but also has an appetite for continual learning and is eager to take on new tasks and provide suggestions and improvements for current processes.  

This role has the option of being part-time or full-time depending on the candidate’s preference and abilities.

Part-Time Role:

Schedule depends on payroll cut-off dates (either the 7th or 22/23rd of each month)

  • Averages to around 80 hours per month

Duties:

  • Run payroll (semi-monthly)
  • 250 hourly employees
  • Track and record apprentice training hours and log to the ITA
  • Analyze and verify that time sheets are accurate based on NEL payroll procedures
  • Ensure overtime approvals are obtained for any OT payment
  • Process and Reconcile employee deductions (i.e. taxable benefits, RRSP contributions, garnishments, etc.)
  • Update and maintain accurate payroll records (i.e. insurance coverage, salary increases)
  • Complete and process requests for pay-related documents including statements and verifications (i.e. Lawyer/Work Safe BC requests for employee pay information) – This will go hand in hand with HR.

Full-Time Role

All the above duties for the part-time role, plus:

  • Other accounting duties on an ad hoc basis
  • May include some billing and reporting
  • Other duties dependent on candidate’s experience and willingness to learn

You Have:

  • Minimum 2 years payroll experience
    Business or accounting training
    Knowledgeable with Sage Payroll or large ERP payroll system (Timberline an asset)
  • Solid understanding of basic accounting principles
  • Good understanding of payroll regulations/requirements and employment standards
  • Extremely accurate with data entry- you always double and triple-check your work!
  • Strong problem solving skills
  • Ability to take initiative- if you don’t know the answer, you find out
  • Adaptable and flexible, eager and willing to learn
  • Ability to work in a team environment and learn from others
  • Passion- you care about people getting paid correctly and on time, and you will do whatever in your power to meet these expectations
  • Ability to prioritize and meet payroll deadlines
  • Willing and able to stay late if it means employees are paid on time
  • Excellent communication skills, both written and spoken
  • Proficient in Microsoft Office (especially excel)
